From the Wyo Stays team. A working template — the gated version is a fill-in-the-dates calendar. Educational, not legal/tax advice.
Staying compliant isn't a one-time setup — it's a rhythm. Miss a filing or a renewal and a good year turns into penalties and stress. This calendar keeps every recurring obligation in view.
Each booking
- ☐ Correct combined lodging/sales tax collected & itemized
- ☐ Guest ID / screening done
- ☐ House rules acknowledged
Monthly or quarterly (your assigned frequency)
- ☐ Sales & lodging tax return filed + remitted — including zero returns
- ☐ Books updated (income/expenses categorized)
- ☐ Detector / extinguisher spot-check
Seasonally
- ☐ Fall: winterize; furnace service; snow-removal vendor confirmed
- ☐ Winter: freeze watch; roof snow load
- ☐ Spring: de-winterize; AC service; exterior inspection
- ☐ Summer: outdoor systems serviced; wildfire readiness (foothills)
Annually
- ☐ Wyoming sales/use tax license renewal
- ☐ Insurance policy review/renewal (confirm STR coverage current)
- ☐ Business license / entity renewal (if applicable)
- ☐ Smoke/CO detector full test + battery replacement, logged
- ☐ Deep maintenance (HVAC, hot tub, chimney) — see Preventive-Maintenance
Tax season
- ☐ 1099s issued to contractors paid $600+
- ☐ Year-end owner tax packet assembled for CPA
- ☐ Depreciation schedule updated
- ☐ Quarterly estimated taxes paid (if applicable)
The habit: put every line on a recurring reminder with a due date. Compliance is boring until the day a missed filing or lapsed policy costs you — then it's the only thing that matters.
